Microsoft 365 Updates for May 2026: What Southwest Florida Businesses Should Review

May 2026 brings more than 25 changes across Microsoft 365, including new features, retirements, behavior changes, and items that require admin action. If your Southwest Florida business runs on Microsoft 365, the items below are the ones worth a careful look this month.

In the spotlight

  • New Microsoft 365 E7 Frontier Suite (GA). Microsoft is introducing a new premium suite on May 1, 2026, priced at $99 per user per month, designed for enterprises scaling autonomous AI agents with advanced security and governance.
  • Office 365 Connectors retirement. Office 365 Connectors in Microsoft Teams will be fully retired on May 18, 2026, completing the long-running phase-out.
  • New SharePoint experience. A refreshed SharePoint experience is rolling out with simplified navigation and easier publishing, making it faster to find content and build solutions.

Retirements

  1. The legacy IDCRL authentication protocol in SharePoint and OneDrive is being retired as part of Microsoft’s Secure Future Initiative.
  2. The Agent registry and Agent collections blades in the Entra admin center are being retired, along with the related Graph API, to simplify agent management.
  3. Microsoft Defender for Endpoint mobile app updates will apply only to versions released from February 2026 onward. Older versions will lose cloud connectivity from May 9, 2026 and will no longer receive updates.
  4. Microsoft Defender for Cloud Apps is retiring a small set of IaaS and PaaS threat detections.
  5. The Copilot-generated recap feature in Loop will be retired starting early May 2026.
  6. Microsoft Teams will enforce the “Require verification by participants (CAPTCHA)” policy starting early May 2026.
  7. External access tokens for actionable messages will retire on May 15, 2026, requiring transition to Microsoft Entra authentication.
  8. InfoPath Forms Services will stop allowing new or updated forms from May 18, 2026, ahead of full retirement in July 2026.
  9. Microsoft is retiring the Outlook Lite mobile app to focus on the main Outlook Mobile experience.

New features

  1. Brand Impersonation Protection in Teams calling will help detect and alert users about fraudulent external callers posing as trusted organizations.
  2. Entra ID Account Recovery will let users regain access when all authentication methods are lost.
  3. Teams meeting recordings will inherit sensitivity labels when inheritance is enabled, keeping data protection consistent across meetings.
  4. Teams will support chat with external users via email, even if they do not have a Teams account.
  5. Admins will gain control over Copilot agent lifecycle through rules to block risky agents, remove inactive ones, or reassign ownerless agents.
  6. Viva Engage communities will be integrated into Teams with unified conversations, shared navigation, and synced memberships.
  7. Copilot-powered capabilities in SharePoint will streamline page creation and editing with AI-assisted content generation.
  8. From May 2026, Entra ID passkey updates introduce passkey profiles and synced passkeys with flexible configuration and group-based management. Tenants that do not opt in will be moved to default settings automatically.
  9. Passkeys (FIDO2) in Entra Registration Campaigns remain supported as a prioritized authentication method under both enabled and Microsoft-managed states.
  10. Exchange Online will add a PowerShell cmdlet to change meeting organizers for single or recurring meetings, easing role and ownership transitions.
  11. SharePoint Online will support custom AI skills stored as reusable Markdown-based tasks, with automatic or manual invocation based on user queries.
  12. Microsoft Purview will improve sensitivity label targeting with support for excluding modern groups and including dynamic non-mail-enabled security groups.

Enhancements

  1. Data Lifecycle Management is gaining a new retention condition, “When items were last accessed,” letting admins clean up OneDrive and SharePoint based on usage history. Better storage hygiene also improves Copilot efficiency.
  2. Insider Risk Management is being extended to AI agents. Admins can set policies to detect, flag, or block risky agent activity across Copilot Studio, Azure AI Foundry, and Agent 365, especially when sensitive data is touched.
  3. Microsoft Purview will support hard deletion in priority cleanup policies for SharePoint and OneDrive, permanently removing items and bypassing recycle bins.

Existing functionality changes

  1. From May 2026, Windows Autopatch will enable hotpatch updates by default for eligible Intune devices, delivering security fixes without restarts. Devices must meet requirements like VBS. Restarts occur only in baseline months, and opt-out is available from April 2026.
  2. Microsoft Purview eDiscovery will block special characters like “+, =, @, /, *” in names for cases, holds, searches, and review sets.
  3. Starting early May 2026, web-deleted OneDrive files will no longer go to the local recycle bin, reducing storage usage and sync overhead.

Action required

  1. Microsoft Teams on the web will require browsers that support ECMAScript 2022 (ES2022). Unsupported browsers will see reminders until May 14, 2026, and access will be blocked from May 15, 2026. Users should upgrade to supported browser versions.

Live in May

  1. Microsoft 365 now includes a modernized change management model with Frontier, Standard, and Deferred releases, enhanced Message center updates, and AI insights via the MCP Server for better admin control.
