For most Southwest Florida small businesses this is a quiet, optional change, but if you already use retention policies for compliance, it’s worth five minutes to understand before someone on your team flips it on.

What does Microsoft 365 Archive actually do?
It gives Purview Data Lifecycle Management a new action inside retention policies. Instead of just “keep” or “delete,” an admin can now set a policy so that files untouched for a set period, say five years, get moved into Microsoft 365 Archive storage automatically. The files aren’t gone. They stay indexed and discoverable for retention and legal purposes, and background processing can take up to ten days to actually move them once a policy triggers, per Office 365 for IT Pros’ walkthrough of the feature.
Is this the same thing as the recent mailbox storage bump?
No, and it’s an easy mix-up. Earlier this year Microsoft 365 Business tenants got their mailbox quota raised, a separate Exchange Online change we covered in our mailbox storage update post. Archive is unrelated. It only touches files sitting in OneDrive and SharePoint document libraries under an active retention policy. If your business hasn’t set up retention policies, this change has nothing to move.
Does my business need to do anything before the rollout reaches my tenant?
Not urgently. The Archive option is opt-in, so nothing in your tenant changes on its own, based on Microsoft’s message center posting on the feature. But if you’re a healthcare practice, law office, financial services firm, or any business that already runs retention policies for compliance reasons, this is a good prompt to sit down with whoever manages your Microsoft 365 tenant and answer three questions: which retention policies exist, what they currently do when a file ages out, and whether archiving stale files instead of just holding them in place would actually save you money.
Who should care about the storage savings?
Mostly businesses that generate a lot of documents and are required to keep them for years: contracts, patient records, financial statements, project files from closed jobs. If your SharePoint storage pool is climbing toward its limit and a chunk of that is old, rarely opened files under a retention hold, Archive is a legitimate way to bring costs down instead of buying more standard storage. If your file libraries are small and mostly active documents, this change probably won’t move the needle for you either way.
What’s the catch?
Two things worth flagging. First, archived files are excluded from Copilot indexing, so if your team relies on Copilot to search across old project files, those files effectively disappear from that search once archived. Second, because the feature lives inside retention policy configuration, a misconfigured policy could archive files your team still needs day to day, so it’s worth testing on one document library before rolling it out tenant-wide.
